The Audit Trail Module

The Audit Trail module was designed to enable clients to access audit trail information and export these logs for auditing purposes. This is only available for customers who are self hosted, who have also been given special permission to access this module.

For clients who have access to this Module, it appears on the Administration Site for all Site Administrators to access.

A list of all of the possible system modules that an audit trail can be run for will appear. The exact specifics for each audit are all outlined in the last step of this lesson.

To run an audit, click on the module/s required. Then, select the date that the audit report will run from

The example here shows that modules from the Administration site will be audited. This includes System Messages, Roles and Role Page Layouts.

The Audit Date has been selected to run from the 1st January 2014. This means the report will run from that date and will include today's data.

Once the Modules and the Date are selected, click the "Produce Audit Report" button.

The information will be downloaded as a .csv file, or a .zip file containing multiple .csv files

In your downloads list, if only one module was selected, a single csv file will be downloaded. If multiple modules were selected (as in this example) a .zip file is created containing a separate .csv file for each of the modules selected.

The Audit Trail will display up to six different columns depending on the Module you run the audit for

The file may contain up to six different columns including:

  • Unique Record ID: This is NOT the name of the event form, or the alert, or the system message. It is a unique ID used to differentiate records internally within the software.
  • The Time of the change/entry. This is displayed using a 12 hour clock.
  • the Date of the change,
  • Name (if relevant): Role Name, Event form or Profile form name ,
  • About (if relevant): If the change was in conjunction with a user's data
  • Modified By: who was the user making the change in the Builder site, Administration site or main application

The image in the example here shows the "Roles" audit. This shows that only one change has been made to the Roles on the Administration Site, and this was performed by a user called Peter on the 11th February 2014.

We anticipate that these will be the most common Modules that users will want to run audits of. This will create a list of all edits/changes etc on the system for all athletes.

You can see a list of Event Form Names, the date and time of entry/change, the person they were entered for, and the user that entered, edited, deleted or viewed the record.

This will generate a list of the Event Form and the Profile Form changes from the Builder Site.

Unless you are looking at a short date period (e.g. 1-2 months), please do NOT select all Modules and run the audit. If you have a lot of data this WILL crash the audit report

Do NOT select to include all modules in the audit report. Remember that every single change every made (including views, edits, deleted etc) will need to run and be included in the audit and generating this report will add load onto your server. Only select the modules you need for the specific time period you require.

If the audit report takes over 5 minutes to run, it WILL time out and an error will occur. If this happens, ONLY run the audit for one module at a time. N.B. The Events Module will place the largest load on the system.

A column will be generated for Record ID, Time and Date. The Modified By always denotes the name of the users that opened, edited, created or viewed an event, or modified an Event Form, through to setting up Performance Alerts.

  • Activated Alerts (Main Site): Name- the Performance Alert description; About- the person who received the Performance Alert; Modified By- the person who originally created the Performance Alert
  • Admin Lock Roles (Admin Site): Denotes whether a Role/s have been added into an Admin Locks
  • Admin Locks (Admin Site): Denotes whether a new Admin Lock is created, and any changes to it or existing ones
  • Application Translations: The Name of the Translation and who modified it
  • Attachments (Main Site): The Name of the Attachment, and the user who uploaded them
  • Daily Reminder Reminded Athletes (Admin Site): The date and time changes are made to any Daily Reminder's athlete list (doe not include the name of the reminder or the athlete)
  • Daily Reminder Reminded Groups (Admin Site): The date and time changes are made to any Daily Reminder's groups list (doe not include the name of the reminder or the group name)
  • Daily Reminders (Admin Site): Name includes the Daily Reminder Name, the description and the time is is set to be sent.
  • Database Forms: The Name of any Database templates that are created/modified
  • Default Role Groups (Admin Site): The date and time changes are made to any Default Role Groups (doe not include the name of the Default Role or the Groups)
  • Default Role Roles (Admin Site): The date and time changes are made to any Default Role Roles (doe not include the name of the Default Role or the Roles)
  • Default Roles (Admin Site): Denotes whe ther a new Default Role is created, and any changes to it or existing Default Role Names/Descriptions
  • Event Forms: Audit of Event Form changes on the Builder Site, including Event Form name and the user that made the change
  • Events (Main Site): Audit of all of the Event Form entries, views, deletions by Event Form Name, the Name of the User they were entered for, and the name of the user viewing/editing the data
  • Excel Reports (Main Site): Name denotes the Excel Report Name, Description and any Categories and Tags. The About and Modified by denote the user who created and edited the report respectively.
  • Form Data Import User Mappings (Main Site): Name denotes the saved username mapping title and description that can be saved during event form imports
  • Form Data Imports (Main Site): The Name denotes the name of the file imported into the system and the name of the Event Form or the Profile Form. The About and Modified By show the user who imported the records in.
  • Group Administrators (Admin Site): Denotes the date and time a user is added or removed as a group administrator. It does not specify which user is added/removed, only the user adding or removing them.
  • Group Athletes (Admin Site): Denotes the date and time a user is added or removed as an athlete in a Group. It does not specify which user is added/removed, only the user adding or removing them.
  • Group Coaching Staffs (Admin Site):Denotes the date and time a user is added or removed as a Coach of a Group. It does not specify which user is added/removed, only the user adding or removing them.
  • Group Page Layouts (Admin Site): Denotes the date and time a Group is added or removed from a Page Layout. It does not specify which Group is added/removed, or the Page Layout, only the user adding or removing them.
  • Group System Messages (Admin Site): Denotes the date and time a Group is added or removed from a System Message. It does not specify which Group is added/removed, or the System Message, only the user adding or removing them.
  • Groups (Admin Site): Denotes the Name of the Group that has been added or changed, and the user that has made the change.
  • Page Layouts: Denotes the Name and the description of the Page Layout and any changes made to them.
  • Performance Alert Monitored Athletes (Main Site): Denotes the date and time an athlete is added or removed from a Performance Alert. It does not specify which Athlete is added/removed, or the name of the Performance Alerts, only the user adding or removing them.
  • Performance Alert Monitored Groups (Main Site): Denotes the date and time a Group of Athletes is added or removed from a Performance Alert. It does not specify which Group is added/removed, or the name of the Performance Alerts, only the user adding or removing them
  • Performance Alert Notified Users (Main Site): Denotes the date and time a Notified User is added or removed from a Performance Alert. It does not specify which user is added/removed, or the name of the Performance Alerts, only the user adding or removing them.
  • Performance Alerts (Main Site): Denotes the Name of the Performance Alert and the Message that is sent to users. The About and Modified By reflect the user setting up the alert, or editing it.
  • Performance Explanations (Builder Site): Specifies the name of a Performance Explanation and when it is created or when any edits are made to it.
  • Performance Standards (Builder Site): Specifies the name of a Performance Standard and when it is created or when any edits are made to it.

  • System Messages (Admin Site): Denotes the Name and Description of the System Message that has been added, changed or deleted, and the user that has made the addition, change or deletion
  • Training Blocks (Main Site): Denotes the Name and Description of the Training Block that has been added, changed or deleted, and the user that has made the addition, change or deletion.
  • Yearly Plan Athletes (Main Site): Denotes the date and time a user is added or removed from a Yearly Plan. It does not specify which user is added/removed, or the Yealry Plan Name, only the user adding or removing them
  • Yearly Plans (Main Site): Denotes the Name and Description of the Yearly Plan that has been added, changed or deleted, and the user that has made the addition, change or deletion.
