Downloading an iCal allows you to download a snapshot of events from Smartabase and upload them into an external calendar system. Once downloaded, the events will never update, but it can easily be added to any system that supports iCals. In Smartabase, when you download an iCal it will generate a download of the exact date range that is visible on the calendar at the time when download is clicked. See the steps below for more details.

The iCal will be downloaded, AND a separate pop up window will open to confirm that you can access this iCal

When downloading, you will need to provide your login details to confirm you can access this iCal file for this athlete

On you external Calendar, click on your settings

The example shown here is a Gmail calendar system. You many need to choose File and Import on other systems.

Browse and select the recently downloaded iCal file from you downloads (or from any other location you may have saved the file to)

The calendar that the events were imported into will display the entries

Any event can be selected, and additional details about the event may be provided; additional details are dependent on how these events were set up in Smartabase.

Please note that ONCE the iCal is downloaded, if an event is changed on Smartabase, this will NOT change the entries that have been downloaded.

If an Event is changed in Smartabase, this will NOT be pulled through to the events which you have imported into your calendar. Additionally, if you make a change to an event on you calendar, this will not link back to Smartabase.

To Subscribe to an athlete's calendar click on the Subscription link on the Smartabase calendar page

A subscription sets up a direct link to Smartabase allowing you to access new entries that are entered into Smartabase.

Choose which period you would like to subscribe to, and select whether previous and new data should be included in the subscription link

You can choose a week, month or year, and also to show historical data or just data from now on. Keep in mind that as new entries are added to Smartabase, these will be linked to the subscription, regardless of what setting you select above.

Open the Email and copy the link

On your Outlook or iCal calendar system, click on "Subscribe"

Click in the Calendar URL text area and click on Paste to paste in the copied url

Enter in your user name and password (from Smartabase, not your calendar system)

It will link to the Smartabase server and access the athlete's data

Name the Subscription (name it appropriately) and the select Auto-refresh for every day or week. DO NOT set it to every 5-15 minutes. This is too frequent and will place a significant load on your Smartabase system.

The events will be imported

New or updated records will pull through every day (based on the auto-refresh settings)

The subscriptions can be deleted if you need. This will remove the entries from your calendar

At any time, you can delete the subscription or change it

N.B. If access to the system, an athlete, or any Event Forms, is removed, the calendar access will be updated accordingly

N.B. the Calendar in Gmail will NOT accept secure URL events, so you CANNOT subscribe using Google mail calendars

Unfortunately, Google calendar does not support access of URLS through secure https addresses (e.g. https://my.smartabase). This means you cannot subscribe to a calendar using the Gmail calendar system.
