Advanced Form and Field Properties to optimise iCal Event Name (Subject), Location and Description

Each Event Form can now be set to be included or excluded being included in an iCal feed.

To optimise an iCal feed, each Event Form now also has advanced properties for "iCal Summary Field" and "iCal Location Field". These settings allow you to specify whether a field is used for the subject of the iCal Event (rather than the Form name; which is what it is defaulted to) and whether a field can be used for the location of the iCal Event (by default nothing will be entered).

Additionally, Each Form Field can be specified to be added as an iCal Summary field which appears in the Description of the iCal Event.

Not all Event Forms entered for an athlete should be included in an iCal feed. For example, an organisation may not want Medical Data which is entered for an athlete to be included in an iCal. By default, all forms are set to be included in an iCal. Each form needs to be set to No to be excluded from the iCal.

Once the "Show Event in iCal" (an Advanced Form property shown in the image in the step above) is set to no, this Event will not appear in an iCal feed, even if the user has access to it

Form Advanced Properties to set iCal Name (Subject) and iCal Location

Once the Form is set to be included in an iCal, Advanced Form Properties can be set which will set the Subject and Location fields for events when they appear in the iCal.

In the example here, the field named "Production Name" is set as the iCal Subject and the "Studio" where the production will occur is set as the iCal Location. This means the Event Form name will no longer be subject of the iCal Event.

The Event is entered on Smartabase.

When the Event is opened, the Name (Subject) and Location appear as per the data in the Event Form entry in Smartabase

If you want additional data from with the Event Form to be included in the iCal Event, then set the appropriate field/s as "iCal Summary fields"

Similar to the way calendar summary and summary fields appear in the calendar and the sidebar on Smartabase, each field in the form can now be set to appear as an iCal Summary field.

If a field is set as an iCal Summary field, then the data from these fields appears in the Description of the iCal Event (as shown in the image in the step below).
