A work around to access Profile Data for an entire group of athletes

The example here shows that we are setting up an event form called "Admin Report". It only has one field in it called "Entry"

On the application, choose the group of athletes that you want to run a Profile Report For

The example here shows we are selecting a group called "Group Import".

Click on Enter Data for Group, select the "Admin Report" Event Form. Enter in the first value and fill down to all athletes.

This step is ensuring that each athlete in the group will be able to appear in the reports page. This is the Event Form we use to show the Profile Data with.

On the Reports Page, select the "Admin Report" as the Event Form and set it to include the most recent result.

1. Run the Report for the Admin Report

2: Select to include the most recent result (so an athlete won't appear twice)

3. Click on Add Profile Form

4. Select the Profile Form that you want to include

5. Click on Run Report

Essentially you are ensuring you are looking at all athletes on the system in that group and you are pulling through any associated Profile Information

All athletes records will appear and any fields which have profile data in them will appear. Click on a Database Column header to sort

Please note that the Profile fields that appear in the Report Columns are set based on the Advanced Properties set up for EACH Profile Field and include the following rules:

If ALL questions in the Profile Form are set as Summary Field = True, ALL of the fields are displayed as columns in the report.

If SOME questions in the Profile Form are set as Summary Field = True, ONLY the True fields are displayed as columns in the report.

If ALL questions in the Profile Form are set with Summary Field = False, then ALL of the fields are displayed as columns in the report.

N.B. You may need to change the settings for your fields to ensure the correct fields appear in the Report.

Use the Filter to show which athletes have this specific search parameter. E.g. Sport =Athletics

Out of the 1000 athletes, only 10 are in the Athletics programme. The filters provide you with the most flexibility for search for specific Profile Information.

You can save the Report (which includes the profile form and filter) for future use

Unfortunately, you cannot select which specific Profile fields appear on the Reports Page. This is set up on the Profile Pages in the Builder Site

Any field that set up as "default show in tables" will appear in the Report when it is run. If you need your builder to update this then please contact them.
